A Personal Inventory allows a library to manage materials that are in the possession of library patrons for an indefinite time frame. SirsiDynix Symphony streamlines the personal inventory process of accountable material by allowing authorized users to create reports of accountable materials by location. The location may be a specific individual with materials checked out and retained in his office, or a special status user location such as a storage container or vault. During a physical inspection or audit, copies sighted at each specific location are recorded using an Intermec 9440 portable inventory barcode scanner. SirsiDynix Symphony compares the list of materials expected to be found in a given location with the materials actually found and produces a discrepancy report for each location.
What steps are involved in a personal inventory?
The following processes are performed when conducting a personal inventory.
1 | Scanning the data needed to produce an inventory. |
2 | Uploading the scanner data into a file in SirsiDynix Symphony. |
3 | Running the Load Personal Transactions report to compile the inventory data into the SirsiDynix Symphony database. |
4 | In a library with the Accountability module, these additional reports in the Accountability group of reports may be used to get information from the personal inventory data. |

How do I plan a personal inventory?
Before scanning items for inventory, keep the following in mind.
• | Only Charge Item scanner records are valid when performing a personal inventory. |
• | Scanner records are converted to inventory transactions, which make up an inventory file. |
• | You have the option to scan several batches of items for an inventory in a single session, and return later and add more items. |
What is the barcode scanning process for the inventory?
To perform a personal inventory of accountable items, do the following.
1 | Press F1 on the scanner. The following screen displays. |

5 | When finished scanning all items in this user’s area, turn off the scanner, or go to the next area, press F2 on the scanner, and repeat steps 3 and 4 to scan accountable items for additional users. |
How is inventory data transferred to the workstation?
The data from the scanner must be uploaded to the workstation using the Scanner Upload program (scanupld.exe) before the data from the workstation can be uploaded to the server. The Scanner Upload program is contained in the Scanner Upload Utility wizard. Do the following.
1 | Connect the scanner to a serial port on the workstation using the SirsiDynix-supplied scanner to workstation cable. Use COM1. |
2 | Turn the scanner on. |
3 | Select All Wizards from the Command menu. |
4 | From the All Wizards list, scroll down and click SCANNER. |
5 | The Scanner Upload Utility wizard launches the scanupld.exe program. A window opens that identifies the communication port, the baud rate of the transfer, and the file where the data will be located. |

How do I upload data from the workstation to the server?
1 | On the Utilities toolbar, click the Scanner Transfer wizard. |
Under Transfer From, type the directory and filename of the barcode file to be uploaded to the server, or use the Open File gadget to select the file.

3 | Click OK to upload the scanner file to the server. Each time scanner data is uploaded, the scanner.dat file is appended. However, it is recommended that you run the Load Scanner Transactions report frequently. |
