Holding Code Wizard

The Holding Code policy is used when loading bibliographic records into SirsiDynix Symphony using the record loading reports. A holding code in a bibliographic record is a short code that represents copy-level information, such as Item Type and Location. In SirsiDynix Symphony, the Holding Code policy is used to provide required copy-level information at the time the record is loaded. Each Holding Code policy definition provides several pieces of necessary information which are expanded into data when an bibliographic record is loaded into SirsiDynix Symphony.

From the List Policies window, you can create, display, modify, copy, or remove the Holding Code policies. Click Close to exit the wizard.

Important Considerations When Using this Wizard

Holding Code policies are used only at the time a bibliographic record is loaded. Subsequent changes to a holding code in the bibliographic record will have no effect on copy-level data.
Two Holding Code policies, DEFAULT and UNK, are delivered with SirsiDynix Symphony. The DEFAULT holding code is used when you choose to ignore holdings statements or there are no holdings statements present in the bibliographic records to be loaded. The UNK holding code is used when a holdings statement includes a subfield that contains information that is not in SirsiDynix Symphony policies, or the holding code in the subfield h is not valid.
When using the Customized Policy List wizard, there is a limit to the number of holding codes that can be customized per library. Approximately 900 codes can be customized if the codes are 10 characters long (maximum size). If the codes are shorter, more codes can be customized.

Attributes

The Holding Code policy contains the following attributes.

Name

This attribute uniquely identifies a specific Holding Code policy. This name is ten characters or less, and may not include spaces or punctuation, except for dash (-), underscore (_), and dollar sign ($). Additionally, the pipe character (|) may not be used.

Note: The name of the Holding Code policy is not the code that should actually be typed in the holdings field of the bibliographic record. The Code attribute is used for this purpose.

Description

This attribute provides more information about the policy and its use by the library. The description may be up to 60 characters in length. Although the Description attribute may contain spaces and punctuation, the pipe character (|) cannot be used.

Ignore Item

This attribute indicates whether or not the holding code should be ignored when loading records. The records being loaded may contain obsolete holding codes or a holding code of a nonexistent or inactive library. If selected, the item(s) referenced by this holding code is not created or updated.

Code

This attribute must be a unique abbreviation, word, or group of characters that represents all of the characteristics described in the following fields. This holding code is typed in a holdings field of a full MARC record before the record is captured and loaded into the SirsiDynix Symphony catalog database.

Library

This attribute specifies the library ownership of items with this holding code. Select a Library policy from the list. Use the Library Policy helper (Library Wizard) to make changes to existing library policies.

Location

This attribute represents the individual areas, collections, or rooms to which items with this holding code are assigned. Select a Location policy from the list. Use the Location Policy helper (Location Wizard) to create new locations or modify existing locations, if needed.

The location policy must be holdable if you wish to place holds on on–order items. If the Holding Code policy is modified to use a location that is not holdable, and Configure Auto Cancellation of On–Order Holds is enabled, any on–order holds associated with this Holding Code policy will be removed automatically.

Item Type

This attribute characterizes the material represented by this holding code. A separate Holding Code policy entry should be made for each type of material. If the same type of material circulates differently depending on its home location in the library, then the number of different item types must match the number of different circulation rules. Select an Item Type policy from the list. Use the Item Type Policy helper (Item Type Wizard) to create new item types or modify existing item types, if needed.

Item Categories

These optional attributes further characterize the material. The categories allow the collection of statistics by allowing libraries to define their own unique copy-level characteristics in the collection. SirsiDynix Symphony provides the ability to define up to five item categories. If the library does not want to use the item categories at this time, these attributes should be blank.

Select item categories from the lists. Use the Item Category Policy helpers (Item Category Wizards) to create new item categories or modify existing item categories, if needed.

Circulate

This attribute indicates whether the Circulate option in the item record should be selected or not.

Permanent

This attribute indicates whether the Permanent option in the item record should be selected or not.

Price

This optional attribute may be used to supply a default price for all items created with the holding code. The default price is assigned to items in the following situations:

The |c of the 020 (ISBN) field does not contain a price.
The |p of the holdings tag does not contain a price.

Type a value in the Price text box.
