Policy Operations

SirsiDynix Symphony policies may be created, displayed, created, modified, copied, or removed. The Circulation Map, Hold Map, and Tax Handling Map wizards contain an additional cut and paste policy operation because the order in which these policies are listed is crucial to their function. Since it is not possible to sort the map lines for searching, a Search function has been added to these wizards.

The following procedures outline the general steps using the policy operations. More information about creating each policy is described with each individual policy. Clicking Cancel discontinues work with the current policy and moves back to the List Policies window. Click Close to exit the wizard.

Only one user at a time can work with policies. This is a safeguard to prevent users from modifying the same policy at the same time.

 

SirsiDynix strongly recommends that you do not remove policies, specifically policies that have ever been used by the system (with an exception for circulation map lines, hold map lines, and similar map policies). Contact SirsiDynix Customer Support before removing policies.

Cancel

Click Cancel to close the current window.

Close

Click Close to exit the wizard.

Copy

The Copy operation allows an existing policy definition to be copied so that a new name can be assigned and attributes modified to create a new policy definition. Either some or all attributes may be modified.

To copy an existing policy

Create

The Create operation allows a new policy definition to be added to a specific policy group. When a new policy is created, the system will prompt for values for all of the attributes of the policy. The list of attributes varies for each policy and will be discussed with the description of each individual policy.

To create a policy

Go to the help topic for each policy for a definition of the attributes.

It may be necessary to create new policies simultaneously. Use the policy helper buttons in the upper left corner of the policy window to create or modify the essential policies.

If you attempt to create a policy with an already existing policy name, the wizard will display the message “Policy by that name already exists.” Select another policy name.

Cut and Paste

Because the order of Circulation Map, Hold Map, and Tax Handling Map policies in their respective policy lists is crucial to how the policies function, you are able to move map lines up and down the policy lists using a cut and paste operation.

To move a map line in the policy list

Display

The Display operation allows you to display the policy’s current values.

To display the current values of a policy

Policy attributes cannot be altered during the Display operation.

Modify

The Modify operation allows you to modify the attributes for a policy.

To modify a policy

You can modify related policies simultaneously using the policy helper buttons in the upper left corner of the policy window.

Remove

The Remove operation allows an existing policy definition to be deleted from a specific policy group.

To remove an existing policy

SirsiDynix strongly recommends that you do not remove policies, specifically policies that have ever been used by the system (with an exception for circulation map lines, hold map lines, and similar map policies).

Policies that are in use in SirsiDynix Symphony records or are linked to other policies should not be removed. To determine if a policy is used in a SirsiDynix Symphony record, run the list or count report associated with the appropriate type of record, and select records based on the policy definition that is to be removed. For instance, before removing an Item Type policy, run a Count Items report, selecting on the Item Type that is to be removed. If no records are found, it is possible that the policy definition may be removed safely.

Before removing policies, contact SirsiDynix Customer Support.

In addition, review associated policies to confirm that the policy you wish to remove is not referenced by these policies. Removing a policy that is referenced by any other policy in the system can cause SirsiDynix Symphony to malfunction.

Search

The Search features of the Circulation Map, Hold Map, and Tax Handling Map wizards assist you in finding specific map lines. Select a value from the list for policies, such as Library, Item Type, User Profile, and Circulation Rule, or select All. Any combination of these policy values can be searched. Click Search to find the first instance of these values from the top of the list. Click Find Next to search from the currently selected entry forward. Click Clear to begin a new search.
