Hold Map Wizard

The Hold Map policy is used by the Demand Management feature of SirsiDynix Symphony. This policy is similar to the Circulation Map policy, but is used to control whether holds may be placed by users, instead of control how items are charged to users. This feature helps libraries manage the placement of holds across libraries by particular users for particular types of items. When a hold is placed, SirsiDynix Symphony finds a hold map line with the applicable Library/User Profile/Item Type combination. A Permission is assigned to each map and determines who may place holds for that item. A Priority is assigned to help determine where the user placing the hold is in the hold queue.

As with the circulation map, the order of map lines is important. The hold map is read by SirsiDynix Symphony from the bottom up, where the list of holds are evaluated against the lowest lines in the map first. See Policy Operations for Map Policies.

From the List Policies window, you can create, display, modify, copy, or remove the Hold Map policies. Click Close to exit the wizard.

Attributes

The Hold Map wizard displays the following attributes.

Name

This attribute uniquely identifies a specific Hold Map policy. This name is ten characters or less, and may not include spaces or punctuation, except for dash (-), underscore (_), and dollar sign ($). Additionally, the pipe character (|) may not be used.

Description

This attribute provides more information about the policy and its use by the library. The description may be up to 60 characters in length. Although the Description attribute may contain spaces and punctuation, the pipe character (|) cannot be used.

Library

This attribute contains the policy name of the library that owns the items. Select a Library policy name from the list. ALL is a valid value. If ALL is used, this map will match any library. Use the Library Policy helper (Library Wizard) to modify existing libraries, if needed.

Note: For OPAC holds, the library will be the station library, when determining hold range.

Item Type

This attribute contains the Item Type policy name of items controlled by this Hold Map policy. Select an Item Type from the list. ALL is a valid value. If ALL is used, this map will match any Item Type. Use the Item Type Policy helper (Item Type Wizard) to create new item types or edit existing item types, if needed.

User Profile

This attribute contains the User Profile policy name for users affected by this Hold Map policy. Select a User Profile from the list. ALL is a valid value. If ALL is used, this map will match any user profile. Use the User Profile Policy helper (User Profile Wizard) to create new user profiles or edit existing profiles, if needed.

Permission

This attribute determines who may place holds for these types of items. This attribute relates to placing and satisfying holds. Select a Permission from the list. Valid values include the following.

NO_HOLDS – The hold cannot be placed on this item by this user.
OWN_LIB – This hold is allowed only if the station user belongs to the library that owns the item.
OWN_GROUP – This hold is allowed only if the station user’s library belongs to the Hold Group Libraries listed in the Library policy of the item library.
ALL_LIBS – Includes all libraries, but is limited to the Hold Permission Libraries listed in the Library policy of the item library.

Note: “Station user” means the user of the WorkFlows station or e-Library session, not the patron for whom the hold is being placed.

When a station user places a system-range hold using an override, the hold can be satisfied by any item of the title; nothing disqualifies this type of hold. The Hold Map, in this instance, determines the system-range hold’s priority, but not its permission.

Priority

This attribute helps determine where the user placing the hold is in the queue. This attribute relates to satisfying holds only. Select a Priority from the list. Valid values include the following.

NONE – The hold map does not define any special priorities.
OWN_GROUP – Library users that belong to the Hold Group Libraries of the item’s owning library will receive priority when the item becomes available.
OWN_LIB – Holds placed by users that belong to the library that owns the item will receive priority when the item becomes available.
OWNLIBGRP – Holds placed by users that belong to the library that owns the item will receive priority when the item becomes available, then holds placed by users that belong to the item library’s hold group libraries, and finally holds for any other libraries in the system.

If a matching hold map does not exist for a particular hold, the permission defaults to all libraries, and the priority defaults to no priority.

OPAC Hold Range

The OPAC Hold Range attribute allows the library to set the range by item type, library, and user profile. This will allow a consortium to honor reciprocity agreements between libraries within the system when placing holds from the e-Library.

For example, Rockefeller library only allows Rockefeller users to place holds on a NEWBOOK item type. No other library's users are allowed to place holds against Rockefeller's NEWBOOK—the Rockefeller library wants only Rockefeller NEWBOOK items to fill the hold. Using OPAC Hold Range, Rockefeller can control which users can place holds on NEWBOOK items.

The available OPAC Hold Range types are: System, Group, Library, and NO_HOLDS. NO_HOLDS can be used in hold map lines that do not allow holds on items of a specific item type, and the library does not want another library’s item of the same type to fill the hold.

When an e-Library hold is placed, the system will perform the following OPAC hold range checks to see if the hold is allowed.

System – If the hold map line is set to SYSTEM range hold, then the hold will be allowed if there is a holdable item under the title (based on other hold map and hold policy parameters). The hold will be placed across all items in the system that are eligible to fill the hold.
Group – If the hold map line is set to GROUP range hold, then the hold will be allowed if:

There is a holdable item (based on other hold map and hold policy parameters) within the hold group of the library where the hold was placed. The hold will be placed on items belonging to any library listed in the Hold Group Libraries attribute of the station operator’s Library policy.

Or, there is a holdable item (based on other hold map and hold policy parameters) within the hold group of the holds pickup library. The hold will be placed on items belonging to any library listed in the Hold Group Libraries attribute of the pickup library’s Library policy.

(These outcomes depend on the configuration option for group range holds.)

Library – If the hold map line is set to LIBRARY range hold, then the hold will be allowed if there is a holdable item (based on other hold map and hold policy parameters) that belongs to the library where the hold was placed, the station login library. The hold will be placed on copies that belong to the station login library.

Or, depending on the configuration settings, the hold will be allowed if there is a holdable item (based on other hold map and hold policy parameters) that belongs to the hold pickup library. The hold will be placed on copies that belong to the hold pickup library.

NO_HOLDS – If the hold map line is set to NO_HOLDS, this item is not holdable. When a hold is placed, if the first matching hold map line found contains the NO_HOLDS range, the system will not move up the hold map to check for other hold map lines, and the hold will not be allowed.

When filling an e-Library hold, the system will perform the following OPAC hold range checks:

System – If the hold map line is set to SYSTEM range hold, then the item could fill the hold based on hold map policies (as it does presently).
Group – If the hold map line is set to GROUP range hold, then the item could fill the hold if:

The item falls within the hold group of the library where the hold was placed.

Or, the item falls within the hold group of the holds pickup library.

(These outcomes depend on the configuration option for group range holds.)

Library – If the hold map line is set to LIBRARY range hold, then the item could fill the hold if the items owning library matches the library where the hold was placed, the station login library. Depending on configuration settings this could be pickup library instead of station library.
NO_HOLDS – If the hold map line is set to NO_HOLDS, the library’s item is not considered for the hold. The item is not holdable.
