Add Invoice Wizard Properties

You can change certain system settings and defaults for the Add Invoice wizard using the Set Properties window. The Add Invoice wizard allows you to set the following properties.

Display Property Page

The Display Property Page value allows you to choose when to display the Add Invoice wizard’s set properties window. Select one of the following options.

Wizard Startup – Displays the Set Properties window the first time you access the wizard until you end the wizard session or log off the client.
Never – Does not display the Set Properties window as part of the wizard work flow. If Never is selected and you want to open the Set Properties window, point to the wizard’s toolbar button, right-click, and then click Properties on the shortcut menu.

Depending on the value selected in Display Property Page, defaults may appear as the first step of the wizard. Property values that are changed in the first step of a wizard are retained only until the right-click method is used to set properties.

Behavior

On the Behavior tab, select or clear the following check boxes.

Auto Generate Invoice ID – If selected, a new invoice ID will be automatically assigned as invoices are created. Your system must have auto-generated IDs for invoices defined in order to use the automatic ID feature. This property is cleared by default.
Show Invoice Extended Information – Displays invoice extended information fields.
Show Invoice Line Extended Information – Displays invoice line extended information.
Allow to Delete Invoice Line – Displays the Delete Invoiceline Tool, which allows you to delete invoice lines.

Defaults

On the Defaults tab, you can set defaults to customize your use of the wizard.

Invoice Defaults

Select the following invoice options.

Vendor ID – You can select a default vendor ID for new invoices. Use the Browse Vendor gadget to select a vendor ID.
Date Invoiced – You can select a default date invoiced using the Calendar gadget.
Tax Structure – You can select a default tax structure for new invoices. Structures are defined in the Tax Structure Wizard. Select a tax structure from the list. This property will only appear when the Invoice Tax features are configured.
Automatically Open Add Invoice Line when Invoice is Created – Select this check box to display the Add Invoice Line interface.

Invoice Line Defaults

Select the following invoice line options.

Link – Type a default link for invoice lines, either ADJUST, Copy Prorated, FUND, Line Prorated, ORDER, Price Prorated, Rebate/Adjust, Rebate/Fund, Tax/Fund, or Tax/Adjust. See Invoice Link Types for more information.
Quantity – Type a default quantity of items for invoice lines.
Default Tax Fund – Select a default fund to use for tax and tax rebate amounts. Use the Fund Search gadget to select a fund.

Note: Making changes to the default tax fund setting in the Add Invoice wizard properties changes the default tax fund setting in the Session Settings wizard.

If the Calculate Invoice Taxes Automatically property is selected in the Session Settings wizard, and you specify a default tax fund that does not exist or is overencumbered, the following message displays when you try to create an invoice. “Fund not found (Error calculating tax lines)’

Invoice lines for taxes will not be automatically created when the message displays. You must correct the default tax fund selection before the invoice can be created.

Helpers

On the Helpers tab, you can select the Helpers you want to display in the Add Invoice wizard. Click the Display Bibliographic Description and Create Invoice Lines for Order buttons to display the Helper properties that you can set.
