When viewing the MARC Holdings Record Editor window, press F1 to open the online help.
The MARC Holdings tab displays information about the title’s MARC holdings records. This tab may display in WorkFlows when you are modifying or displaying catalog records. This tab only displays if there are MARC holdings associated with the title.
In general, the following situations require working with MARC holdings in your cataloging workflow.
| • | The holdings information generated from serials control does not cover the library’s full range of holdings. |
| • | A previous title or ceased publication, which will not have a serials control record created, is cataloged and holdings should appear. |
| • | An enumeration statement or textual note that could not be generated from serials control needs to be added. |
| • | A special holding statement for a non-serial item needs to be added. |
If one or more MARC Holdings already exist for a title, each library and location associated with MARC holdings display in the Holdings Records list. If the holdings record is not linked to a serial control record, the holdings location displays without linking information. If it is linked to a serial control, the linked Control ID displays in brackets. For example:
MAIN –– OFFSITE MAIN –– STACKS [linked to serial control SC-123]BRANCH1 –– STACKS
When working with MARC holdings in the cataloging process, you can do the following.
| • | Adding MARC holdings records |
| • | Modifying MARC holdings records |
| • | Deleting MARC holdings records |
On the MARC Holdings tab, when adding or modifying holding records, you will use the Editor window. For more information on editing holdings records using the Editor, go to About the Record Editor Window.

| 1 | In the Add Holdings for Library list, select the library you want. The library will default to the library on the Call Number/Item tab. |
| 2 | Click Add Holdings. A holdings record template appears. In the Holding Records list, the holdings locations that already exist are listed. A NEW record is either the one you are creating or one that was not entered properly. If a new record was previously created improperly, only the record identifying key entry displays. The 852 and any other template entries will need to be entered manually using the Before and After helpers. |
| 3 | The 852 entry is required. If this holdings record will be linked to a serial control, the location must correspond to the location associated with the distribution holding code. The data in this entry must be exact. Use the Show Valid 852 Locations Helper to display a list of valid holdings locations. |
| 4 | The fixed field and entries that display are common holdings entries and must be entered according to the MARC 21 Concise Format for Holdings Data (http://www.lcweb.loc.gov/marc/holdings/echdhome.html). Additional valid MARC Holdings entries can be entered using the Before, After, and Delete helpers. If configured to display, the Add Subfield Delimiter/Code Helper may be used for entry of subfield delimiters and codes. |
| 5 | After the fields are entered, click Save and Close to add the holdings record to the list. |
When moving from the MARC Holdings tab to other tabs in the bibliographic record, you will be prompted to save your changes before closing the tab.
You can only create MARC holdings for libraries in your MARC Holdings Maintenance library group.
It is possible to add a holdings record to a UNIMARC-formatted record, however, the holdings will be formatted as MARC21 holdings.
Modifying MARC holdings records
| 1 | In the Holdings Record list, double-click the holdings record you want to modify. Or, select the holdings record, and then click Modify Holdings. |
| 2 | Make necessary modifications to the fixed field and entries that display. Information must be entered according to the MARC 21 Concise Format for Holdings Data (http://lcweb.loc.gov/marc/holdings/echdhome.html). Additional valid MARC Holdings entries may be entered using the Before, After, and Delete helpers. If configured to display, the Add Subfield Delimiter/Code Helper may be used for entry of subfield delimiters and codes. |
| 3 | The 852 entry is required. If this holdings record will be linked to a serial control, the location must correspond to the location associated with the distribution holding code. The data in this entry must be exact. If you are modifying the 852 location, use the Show Valid 852 Locations Helper to display a list of valid holdings locations. For example: |

When moving from the MARC Holdings tab to other tabs in the bibliographic record, you will be prompted to save your changes before closing the tab.
Users can only modify MARC holdings for libraries in their MARC Holdings Maintenance library group.
Deleting MARC holdings records
| 1 | In the Holding Records list, select the holdings record you want to delete. |
| 2 | Click Delete. A confirmation message appears. |
| 3 | Click Yes to delete the selected holdings record. |
When moving from the MARC Holdings tab to other tabs in the bibliographic record, you will be prompted to save your changes before closing the tab.
Users can only remove MARC holdings for libraries in their MARC Holdings Maintenance library group.
