Profiles Tab

The Profiles tab displays information about the exchange library’s profiles. You can establish profiles for the type and quantity of items that you would like to receive through the exchange process. You can use combinations of exchange type and exchange category to identify what your library should receive.

The Profiles tab is divided into two areas: Profile and Status.

Profile - Allows you to specify the number or percentage of items you want to receive for each exchange type. For each associated exchange category, you can select the percentage or quantity of desired items for your core exchange items and new exchange items.
Status - Displays the status of your exchange materials for each category. Information about the quantity or percentage deposited at this library, the difference between those numbers, and the number of items in exchange appear. Information about the local collection for the library also displays for each exchange category.

How to Set Up a Profile

Profile

Target

Enter a value for the number of items you would like for this exchange type. (For certain customers, this number is equivalent to the population for the area.)

Desired %

= Target divided by Profile Total if total is entered, otherwise entered value.

This is the desired rate, or the percentage of this quantity that you would like to receive for this particular exchange type. (For certain customers, this number is equivalent to number of books per capita.)

Quota or Profile Total

= Target multiplied by Desired %, if target is entered otherwise entered value.

This is the ideal quota of items the library would like to have in exchange at any given time.

Exchange Category Quota - The total number of items, by exchange category, which you would like to have in exchange at any given time. The exchange program you create with other libraries will help you to achieve this balance of items.
Per Exchange - The number of items, by exchange category, which you would like to receive in each exchange. The Per Exchange amount you define will help you to achieve the balance of items that you have defined in the Exchange Category Quota.

If you choose to define quantities of new items, keep in mind that the number of new items is part of the total that you wish to receive for that exchange category. For example, you can specify that you want 50 items of the exchange Category Fiction and 10 items should be new fiction.

If the Total amounts display in red, this indicates that your exchange category numbers do not agree with the data entered in the Target, Desired, or Total fields in the Profile area.

You can expand (click a plus sign) or collapse (click a minus sign) in the structure to make it easier to use.

If you select the Allow Immediate Modification property, you can modify the value directly in the field.

Status

For each exchange type, the following fields appear for core and new items.

Adjustment

Displays the number of items to be sent in the next exchange (in addition to the exchange total). Varies depending on what you set in the number of exchanges to adjust the profile.

Difference (percent or quantity based on property)

Percentage or quantity items (core and/or new). The difference between the quantity and the number in exchange.

In Exchange

Number of items (core and/or new) that are in exchange at the selected exchange library for this particular category.

Local Collection

Number of items that have an exchange type and category, but which are not exchangeable. If the Exchanges option is not selected at an item level, the item is not included in the exchange, and is considered part of the local collection. In order to keep this number up to date, it is recommended that you schedule the Maintenance – Exchange Counters report to update this field.

On the Profiles tab, click the up and down arrows to expand or collapse the information that displays in the Status area.

Number of Exchanges to Adjust the Profile

Number of exchanges to adjust the profile. This is a tool that helps you to determine the number of exchanges it will take for you to achieve the quotas defined in your exchange categories. When you enter a number in this field, it will update the adjustment column to show you how many items you would need to receive in each exchange. You can enter the adjustment numbers into the Per Exchange columns in the profile. The next time your library is activated, the new Per Exchange amounts will be used to calculate the number of items to exchange.

Total

Percentage or number of the core materials you want to exchange. This field displays the same amount as displayed in Total quantities (core and new) in the Profile area.
