Collection Exchange Tab

The Collection Exchange tab displays only if WorkFlows is configured to use the Collection Exchange module. The Collection Exchange tab displays when accessing records with Cataloging wizards.

The fields in the Collection Exchange Tab can be used to establish default options when item records are added to the title. When items are added, you have the option of using the exchange data at the title level so that you do not have to reenter it at the item level.

You can specify any values you would like even though the New Cat Period, Exm. Period, Non-Return Period, and Performance Range might automatically fill after selecting the category policy.

The Collection Exchange tab displays the following fields.

Exchange Category

This field, along with Exchange Type, is required for an exchange to take place. The Exchange Category can be selected in the bibliographic record and/or item record. Examples of exchange categories are Classical, Jazz, or Soundtrack. Each exchange category is linked to an Exchange Type. Exchange categories are defined in your policies.

Exchange Type

This field, along with Exchange Category, is required for an exchange to take place. The Exchange Type can be selected in either the bibliographic record or the item record or both. Examples of exchange types are a book, video, or DVD. Exchange types are defined in your policies.

Exemption Period

This field sets the time frame in which you do not want this item to be suggested for an exchange or within the Suggestion Notice. During the Exemption Period, items will not be selected for the Suggestion Notice. The Exemption Period is automatically populated after the exchange type and exchange category are selected.

New Category Date

This field sets the time frame during which exchanged records are considered new. A default value is set based on the combination of the Exchange Type and Exchange Category. The system calculates this field using the date the record was created, and then adds the number of days, weeks, or months set in this field. The New Category Date field is automatically populated after the exchange type and exchange category are selected.

Non-Return Period

This field sets the time frame in which you do not want to receive this title again. The Non-Return Period field is automatically populated after the exchange type and exchange category are selected.

Performance Range

This field sets, within a specified time frame since the item was in exchange, the minimum and maximum number of transactions (Circ loans) you want to see before the item appears on the Suggestion Notice. The system looks at the ratio of transactions since the time on deposit to verify whether the item has fallen into the acceptable range (Number of Transactions counted since deposit).
