Onshelf Items Wizard

The Onshelf Items wizard is used to display items from the holditem database. Rather than viewing the output of the List Onshelf Items with Holds report from the finished report list or emailing the output to individual users, you can view the output from a single wizard on the Circulation toolbar.

By default, the wizard will display items from the station login library selected to fill holds.

Only copies matching the patron's selected pickup library are used for this wizard.

Using the Select Another Library Helper: Onshelf Items, you can choose another library or All Libraries to limit or expand the Onshelf Hold Items list.

For the station library only, you can select an item in list and perform these next steps: trap a selected hold, mark a selected item missing, and “un-fill” a hold, causing the hold to be filled with the next available item. (Wizard Behavior properties must be configured for the next step buttons to display.) For the station library and other libraries, you can optionally print all items in the list.

You can configure the Onshelf Hold Items list to be updated in real-time as holds are placed, cancelled, or suspended/unsuspended manually throughout the day. A configuration option is available to allow or prevent the Onshelf Hold Items list from updating. By default, this option is disabled. Contact SirsiDynix Customer Support to enable the dynamic updating of the Onshelf Hold Items list.

It is important that you run the List Onshelf Items with Holds once each night before using this wizard during the day. This is needed to catch any holds that automatically become suspended or unsuspended by the system, or to update the holditem database for any library “closed days” parameters.

You cannot access this wizard when the List Onshelf Items with Holds report is running.

 

Although the Onshelf Items wizard updates the holditem database in real time, the actual Onshelf Hold Items list on the screen will be static until you refresh it. Once you refresh the screen, you will see any updates to the holditem database.

If the system is configured to dynamically update the Onshelf Hold Items list, a Global Configuration policy, Configure Locations for List Onshelf Items with Holds Wizard, is available. This policy allows you to control the holdable locations that will be considered when building the Onshelf Hold Items list for the Onshelf Items wizard. This default setting is similar to that seen in the List Onshelf Items with Holds report.

If you have enabled dynamic updating, the following things will cause the Onshelf Hold Items list to update automatically:

If you transfer an on-hold item to a new library, or if you move an on-hold item to a new title, the Onshelf Hold Items list will automatically update (when the screen is refreshed) to reflect the item’s new location or title.
Manually suspending or unsuspending item holds will also update the Onshelf Items list automatically. When you manually suspend a hold, the system will remove the hold on the item. If another hold exists for the same item, the Onshelf Items list will automatically update to reflect the new hold; if no other hold exists for the same item, the item will no longer appear in the Onshelf Items list when the screen is refreshed. Likewise, when you manually unsuspend a hold, the system will check to see if there is another onshelf item that can fill the hold. If an item is available, the system will create the hold and the item will appear in the Onshelf Items list when the screen is refreshed.
When you reorder the hold queue, the Onshelf Items list will automatically update when the screen is refreshed. For example, if you reorder the hold queue for the title linked to an on-hold item, the item will automatically link to the highest priority hold in the Onshelf Items list.
If you try to trap an item in the Onshelf Items list to fill a blanket hold that is already filled, a message will appear, stating that the item is no longer required to fill the hold. (For example, if you have a blanket hold for three titles, but only two are needed to fill the hold, when you try to trap the third title from the Onshelf Items list, you will get this message.) The item that is no longer needed to fill the hold will then disappear from the Onshelf Items list automatically.

To display the Onshelf Hold Items list

Depending on the selections made in wizard properties, the following information may display for each hold: call number, title, item ID, item type, current location, date/time discharged, and pickup library. You can click the column headers to sort the Onshelf Hold Items list.

For example, you can sort the list by the Notify Via field (if configured to display). This way, you can sort all of the users together that are notified by PHONE, making it much easier to call the users.

Note: Right-click options and next steps, other than printing, are available for the station library list only.

Note: When a hold is unfilled for a selected copy, that copy may still be used to fill other holds or this hold in the future.

For example, Copy A initially fills a hold. When you click the Unfill a Hold button, the program may fill the hold with Copy B instead. If the hold for Copy B is unfilled, the program may select Copy A again to fill this same hold, or a different copy, if one is available.

Additional Print options are available under the File menu. The Print and Print Preview options generate a formatted table for printing. The Print Screen option generates an HTML format directly from the table on the screen for printing.

You can also use the Export Onshelf Hold Items List helper to print the list of fields that are defined in the helper properties. The helper creates a pipe-delimited file to the workstation that can be used with an RFID reader. (For more information, see Export Onshelf Hold Items List Helper.)
