FAQs: Creating a Reservation

How far in advance can a reservation be made?

The advance reservation attributes of the Reservation Profile policy determine how far in advance a reservation may be made.

For example, if the Advanced Reservation attribute is set to Days, and the Advanced Reservation value is 30, a user can make a reservation up to thirty days before the current date. The user can not make a reservation for 31 or more days before today's date.

How does a reservation interact with SirsiDynix Symphony circulation rules?

The Academic Reservations module uses the same Circulation Map, Circulation Rule, Loan Period, and User Profile policies as users and items. When a reservation is being made on an item for a user, SirsiDynix Symphony checks the user's status, user profile, privilege expiration date, and reservation limit, and check's the item type's reservation profile. SirsiDynix Symphony also does the following.

Prevents you from making a reservation on an item that is not on reserve.
Prevents you from making a reservation on currently-charged material for a reservation period that begins before the item's due date.
Prevents charging Reserve material when the reservation dates and times would overlap with the circulation loan period.
Checks if an item's checkout or renewal period conflicts with an existing reservation period. If a conflict exists, SirsiDynix Symphony displays a message and prevents the charge or renewal of the item.

How do I create a reservation when I do not have the user's card to scan?

The User Search step the Create Reservations wizard allows you to search for the correct user record when the user cannot present a library card for you to scan. See the User Search Helper topic for more information.

What do I do if the “User may not make reservations” message appears?

If the Eligible for Reservations attribute in the user's User Profile policy is set to No, the following message appears when the user tries to make a reservation.

The reservation process ends, and you cannot create a reservation for the user.

When a reservation is being made, how are closed dates handled?

SirsiDynix Symphony uses the Reservation Start time and Reservation End time when considering any times and days the library is closed. SirsiDynix Symphony also checks when the Reserve Desk may be closed while the library is open. When making a reservation, SirsiDynix Symphony does the following.

Skips any day on which the Reserve Desk or Reserve Desk library is closed.
Checks if the Reserve Desk and Reserve Desk library are open.
Checks to make sure the Reservation Start time and Reservation End time occur when both the Reserve Desk and the Reserve Desk library are open.

Can reservations be made to expire if the user never charges the Reserve materials by a certain time?

Yes. The reservation expiration attributes of the Reservation Profile policy determine the amount of time after which a reservation will expire if the Reserve item has not been checked out by the user who made the reservation. Once the reservation expires, another user may check out the Reserve item, or a new reservation may be made.

For example, if the Expiration Time Is In attribute is set to Minutes, and the Expiration Time value is 15, the reservation expires if the user does not check out the item at or before 15 minutes after the Reservation Start time.

Some libraries fine the user by using the Bill a User wizard when reservations expire.

Can I create a reservation if the user's status is DELINQUENT or BLOCKED?

Yes. If the “User is Delinquent” or “User is Blocked” override appears, type the override code provided by your supervisor, and click Create Reservation.

Can I create a reservation if the user's status is BARRED?

No. Academic Reservations will not allow a reservation to be made for a user whose status is BARRED.

How do I create a reservation on an item that is not available?

The following message appears in the Assign Patron Reservation Period window when you try to create a reservation on an item that is unavailable on the date(s) you selected.

Begin making the reservation again, but notice which dates are shown in red. If the date you want appears in red, the item is already has a reservation on that date. Select another date for the reservation, or exit the wizard and notify the requesting user of the date conflict.

How do I specify available, fixed time periods for making reservations?

You may modify the Reservation Profile of a particular policy to use fixed time slots for making reservations on materials. For example, library staff may decide that item with the VIDEO Reservation Profile can only be used for up to a two-hour period.

If the fixed time slot configuration is used, one or more time slots should be typed or selected for each day that materials sharing the Reservation Profile will be available for reservations. Only reservations that have start and end times that correspond with the fixed time slots can be created.

The fixed time reservation configuration does not override an item's loan period. Fixed time reservation configurations should correspond to the loan period for items on which reservations may be made.

Fixed time period examples:

If the reservation time slot is two hours, and the item's loan period is one hour, the patron will be fined for the second hour of the reservation.
If the reservation time slot is two hours, and the item's loan period is two days, no overdue fine will accrue for the time between the end of the reservation time slot and the end of the item's loan period.

How do I create recurrent reservations?

You can make a reservation recurrent by clicking the Create Recurrent Reservation next step, and by selecting the dates/times for the reservations on the Calendar tab. Click Add to List, and the recurring reservations will display on the Recurrent Reservations tab. To remove a recurrent reservation from this tab, click Remove from List. You can go back to the Calendar tab to add more reservations.

What conditions may shorten an item's loan period for a reservation?

In some cases, an item's loan period will be automatically shortened for the reservation being made. When a reservation item is checked out and the item's loan period is shortened, an alert appears to call attention to the alternate due date. The following messages display to alert staff members to the alternate due date and the reason for the shortened loan period.

If the user checks out an item that must be returned to the library sooner than the normal loan period because of an upcoming reservation or booking for the item, the following message appears.

If the user's privileges will expire before the reservation period ends, the following message appears.

If the reservation item is experiencing great demand, the item's loan period is reduced, and the following message appears.

What do I do if I see the “Warning!! This item was reported as lost or assumed to be lost” message?

If the item the user tries to make a reservation for is an item that has been marked as Lost by the Mark Item Lost wizard or Assumed Lost report, the following message appears.

This command cannot continue because:

Warning!! This item was reported as lost or assumed to be lost.

The Create Reservations wizard will not permit the reservation to be made. You will be returned to the Item Search or the list of matching items to select another item, or click Close to exit the wizard.

What do I do if I see the “User exceeds reservation limit” message?

The following message appears if the user exceeds the number of reservations allowed by his or her User Profile.

Type the override code provided by your supervisor in the Reservation Limit Override box, and click OK.

In a multilibrary system or a consortia that use the Tracking User Status by Library Group feature, which library groups are consulted when validating a user's status?

When the user status is tracked by library group using the Tracking User Status by Library Group feature, the Create Reservations wizard validates the user's status employing the user's status for the bill maintenance group of the workstation library.
