FAQs: Selecting the Reserve Control Record Status, Instructor/Course Reserve Record Stage, and Reserve Copy Status

How must status and stage settings be set for materials to be retrieved and brought to the Reserve Desk?

You are not required to set the status and stage settings for materials to be retrieved and brought to the Reserve Desk, though some libraries prefer to do this to make sure all materials are retrieved. Many libraries will simply place items on reserve when an instructor presents materials at the Reserve Desk, or they will use reports to update reserve records.

If you want to use status and stage settings for materials to be retrieved and brought to the Reserve Desk for a reserve, make sure the stage and status setting are as follows.

Reserve control record status must be set to COLLECT.
Individual instructor/course record stage must be set to PREPARE.
Copy status must be set to PICKUP. This copy status automatically places a Copy level hold on the requested item.

How do you set status and stage settings for an item to be put immediately on reserve and circulated from the Reserve Desk?

For materials to be put on reserve immediately and circulated from the Reserve Desk, you must set the following status and stage settings.

Reserve control record status must be set to CURRENT.
Copy status must be set to ON RESERVE.
Individual instructor/course record stage must be set to ACTIVE.

How do you set status and stage settings for an item to be removed from reserve?

For materials to be removed from the Reserve Desk and returned to their shelving location, the following status and stage settings must be set.

Set the reserve control record status to DORMANT.
Set the individual instructor/course record stage to INACTIVE.
Set the copy status to NOT ON RESERVE.

Reserve records for materials only needed once should be removed. For information on how to remove reserve records permanently, go to Remove Reserve Wizard.

How do you set status and stage settings for an item that is shelved at the Reserve Desk, but is not always on reserve?

If an item is frequently put on reserve (for example, three terms out of four), you may decide to shelve it at the Reserve Desk to ensure the copies are readily available for when they are requested for reserves. When an item is on reserve, the reserve circulation rule is in effect. When the item is not on reserve, the normal circulation rule for the item applies even though the item is physically charged and discharged from the Reserve Desk.

For materials to shelved at the Reserve Desk, the following status and stage settings must be set.

The reserve control record status must be set to DORMANT.
The individual instructor/course record stage must be set to INACTIVE.
The copy status must be set to KEPT AT DESK.

Do reserve items with an instructor/course reserve record stage of INACTIVE still have reserve records in the SirsiDynix Symphony database?

Yes. The individual instructor/course reserve records with a stage of INACTIVE are still linked with the reserve control records stored in the SirsiDynix Symphony database. The instructor/course reserve records store the Instructor ID and Course ID.

Although individual instructor/course reserve records and linked copies are still associated with the reserve control record, the copies are not controlled by the reserve circulation rule. A copy linked with an inactive instructor/course reserve record uses the Circulation Map policy to determine the loan period.

Is a reserve item with an instructor/course reserve record stage of PREPARE held at the Reserve Desk?

No. If a reserve item has an instructor/course reserve record stage of PREPARE, a request has been made for the item to be placed on reserve. The material is not present at the Reserve Desk, but is in the process of being collected and brought to the Reserve Desk to be placed on reserve.
