Setting Up Serial Control Titles

To manage a serial or parts of a serial through the Serial Control module, there must be a title record for the serial in the SirsiDynix Symphony catalog. Use the Add Title wizard to generate a title record. The following are options for setting up variations of serial title records.

When creating a title record, be certain to set the format to SERIAL so that the Frequency Code fixed field will appear.

An important consideration in the process of creating a serial title in the catalog is the first call number associated with the title. This call number and its associated copy’s item type and location may provide some important information about a serial’s holdings. Of course, it is not necessary to create a copy when the call number and title are created.

Base Call Number

A title’s call number is initially copied into the control record to provide the base call number for the title. As copies are received and added as call numbers (volumes), this original call number can be removed. It may be helpful to create a title where the first call number has no associated copy.

Dummy Call Number and Copy

The very first call number associated with a serial title record may be created with COPY:1, and it may indicate a range of holdings the library has or expects to receive for that title, or displays a message to the user to view the record for holdings.

The advantage of this dummy copy method is that a search results list can show the serial’s title, the base call number plus a range of holdings or a message, and an item type and a location.

The following is an example of a journal citation in a single library system when the first call number contains a holdings range message.

ZZ1 .S35 (1985- ) type: BOUNDPER
(additional volumes)

The same journal citation would appear as follows in a multilibrary system when the first call number contains a holdings range message.

This first call number has a physical copy, but there is no volume in the library with this call number—this is just a dummy call number which quickly shows what volumes are associated with this title.

The following is an example of a journal citation in a single library system when the first call number contains a message about holdings.

Monographic Series Dummy Title

Many monographic series must be ordered, paid for, and checked in by its series catalog individually.

Use the Add Title wizard to create a title without a copy. Use a dummy call number since no copies will ever be attached to it -- all the real call numbers and copies are associated with the individual monographs as cataloged. A useful dummy call number would be SEE UNDER INDIVIDUAL TITLES. If this is done, then when this series is searched, the search results windows show the serial’s title and the dummy call number, as well as all the monographs cataloged in that series.
