Authority Map Wizard

The Authority Map policy describes a set of rules to use when authority records are loaded. Authority load programs look at an incoming authority record and determine the Format policy into which to load the record based on which codes of the record match a particular line in the Authority Map policy.

As a new authority record is added via a load report or SmartPort, SirsiDynix Symphony checks it for the presence of an entry number contained in the Authority Map policy. When a match is found, SirsiDynix Symphony checks the 008 fixed field position 11 in a MARC21 record, or the 152 subfield b of a UNIMARC record. If the 008 position 11 (or 152 |b) is blank, or if the record is not in MARC21/UNIMARC format, the Format policy name from the Authority Map policy is assigned. If information exists in the 008 (or 152), the Source of Subject attribute is examined before assigning an authority format.

For example, the following MARC21 authority record is being loaded into SirsiDynix Symphony.

As part of the loading process, the authority record loading program examines the incoming record for a matching combination of the Source of Subject value and entry number from the Authority Map policy. In this MARC21 example, position 11 of the 008 fixed field is “c” (position numbers in fixed fields start at zero) and there is an entry in the record (150) that also appears in one or more Authority Map policies. Since the combination of a 150 field and a “c” in 008/11 exists in the Authority Map policy NLMSH, the authority record is loaded in the NLMSH Format policy. If the 008/11 had been blank, the record would have been loaded in the TOPICAL Format policy.

From the List Policies window, you can create, display, modify, copy, or remove the Authority Map policies. Click Close to exit the wizard.

Format

Name

This attribute uniquely identifies the Authority Map policy. This name is ten characters or less, and may not include spaces or punctuation, except for dash (-), underscore (_), and dollar sign ($). Additionally, the pipe character (|) may not be used.

Description

This attribute provides more information about the policy and its use by the library. The description may be up to 60 characters in length. Although the Description attribute may contain spaces and punctuation, the pipe character (|) cannot be used.

MARC Family

The MARC Family policy allows the user to choose the type of MARC21 or UNIMARC encoding that applies to a specific set of authority records. Select a MARC Family policy from the drop-down list. (This selection will only appear for sites configured to use MARC Family.)

Internal Entry Number

This attribute stores the entry number of the lead term in the incoming authority record.

Source of Subject

Identifies the source of the subject heading.

For MARC21 records, if the content of the 008 fixed field position 11 affects the authority format that should be assigned, this attribute should be the single character code in the record’s 008 field in byte (position) 11 which identifies the source (according to the MARC 21 Authority Format Manual). Type the single character code value.

For UNIMARC records, the source of subject heading is defined in the 152 field, subfield b. The value of |b is a string instead of a single character code. Type the source code value, up to 25 characters.

Format

This attribute identifies the authority-purpose format from the Format policy which should be assigned to the incoming record. Only authority-purpose formats may be specified. This format determines how authority headings and cross-references are indexed and determines the thesaurus in which the term is included. Select an Authority-purpose Format policy from the list. The Authority Format Policy helper (Authority Format Wizard) is available for you to create or modify authority formats, if needed.
