Basic Information Tab: Reserves

The Basic Information tab for reserved items may contain the following basic item and reserve information.

Reserve Desk or Desk

This field contains the Reserve Desk policy for the displayed record’s reserve collection.

Date Placed

This field represents the date the individual instructor/course record was created, that is, added to an existing reserve control record, but does not represent the date that the copy went on reserve.

Circulation Rule

This field contains the policy name of the primary Circulation Rule policy. When reserves are charged, SirsiDynix Symphony refers to the standard circulation rule value that was defined when the reserve control record was created.

Expires

This field contains the date that the materials are no longer valid in a particular status.

In Academic Reserves, this field contains the date that individual copies can be released from the Reserve Desk, or the date after which students of the specified instructor or students enrolled in the specified course will no longer need the title at the Reserve Desk (usually at the end of a course term). If the date is not supplied for individual copies, SirsiDynix Symphony defaults to the expiration date specified in the reserve control record.

This field is required when a reserve control record and/or individual reserve is created. You can select an expiration date using the Calendar gadget, or enter TODAY or NEVER in the field.

Alt Circ Rule

This field contains the policy name of the alternate Circulation Rule policy. This field displays in the Checkout wizard and Renew Reserve wizard only when the Allow Alt Circ Rule attribute is selected in the Reserve Desk policy and you are within the specified minutes before closing defined in the Reserve Desk policy. This field can contain any of the Circulation Rule policies as its default value.

In the Create Reserve and Modify Reserve wizard, you can specify the default alternate circulation rule only if the Allow Alt Circ Rule attribute is selected in the Reserve Desk policy. If this attribute is not selected in the Reserve Desk policy, the Alt Circ Rule and Allow Manual Circ Rule fields are not available in the reserve control records, and reserve materials will always be checked out according to the standard circulation rules specified in the reserve control record.

Allow Manual Circ Rule

This check box displays in reserve control records only if the Allow Alt Circ Rule attribute in the Reserve Desk policy is selected. You can select this check box to allow an exception to be made for a record at a given Reserve Desk and allow any valid circulation rule to be manually entered in the Alt Circ Rule field. If this check box is cleared, an alternate circulation rule cannot be manually set when a reserve item is being charged.

Copies Needed

The Copies Needed field specifies the number of copies required to be on reserve to satisfy the circulation expected for all of the individual instructor/course records in the reserve control record. This field is especially useful for reserve reports that can automatically change the copy status of items associated with the reserve control record. Currently, only the Reserves Pickup List, Update (Rsvpickup) and Reserves Reshelving List (Rsvreturn) reports can automatically select and modify the copy status to a new value.

Auto Select Copies

Selecting the Auto Select Copies check box allows reports to change the reserve copy status of items associated with the reserve control record. Currently, only the Reserves Pickup List, Update (Rsvpickup) and Reserves Reshelving List (Rsvreturn) reports can automatically select and modify the copy status to a new value when this field is selected.

Note: If the Auto Select Copies check box is selected, the Copies Needed field should be configured to contain a value greater than zero for the reports to update the reserve records correctly.

Status

Reserve records contain three types of status: Reserve Control Record Status, Reserve Copy Status, and Individual Instructor/Course Reserve Record Status.

Reserve Control Record Status — Using the call number to associate the reserve control record with the physical materials, the reserve control record Status field reflects what is happening to the materials being placed on reserve or being removed from reserve. This field may contain the following values, which allow the reserve control record to track the linked individual instructor/course reserve records.

DORMANT means no materials associated with this reserve control record are currently on reserve, though these materials may have been on reserve in the past.

COLLECT means the individual instructor/course reserve records require the materials associated with this reserve control record. Materials need to be collected from their home location and placed at the library’s Reserve Desk.

CURRENT means at least one copy linked to this record is available for circulation as a reserve copy from the Reserve Desk.

RETURN means no individual instructor/course reserve records currently require the materials linked to this reserve control record. The physical materials can be returned to their home location or routed in response to a hold request.

Reserve Copy Status — The Reserve Copy Status field reflects what is happening to each copy being placed on or being removed from reserve. The following table describes reserve copy statuses and descriptions.

FLAGGED means the specified copy will be brought to the Reserve Desk in the future. This tags the item, but does not affect its normal circulation. However, items with this status cannot be tagged for another reserve control record.

KEPT AT DESK means that although this copy retains its Reserve Desk location and is physically shelved at the Reserve Desk, the copy is circulated to any user as non-reserve material. Usually, copies with this status are copies that are needed at the Reserve Desk often, such as three terms out of four. When a copy has a KEPT AT DESK status and is circulated as non-reserve material, SirsiDynix Symphony refers to the Circulation Map policy for information about how to circulate this copy.

NOT ON RESERVE means the specified copy is not linked in any manner with a Reserve Desk.

ON RESERVE means the specified copy is currently at the Reserve Desk and available for students to check out. This copy is on reserve for at least one individual instructor/course record.

PICKUP means this copy should be brought to the Reserve Desk immediately if it is available in the library. SirsiDynix Symphony automatically places a copy hold to prevent this item from circulating before it is retrieved for the Reserve Desk. A hold for this item will be first in the hold queue list, and any currently available holds on this item will become unavailable. If the item is checked out, the placed hold will be a recall hold.

Individual Instructor/Course Reserve Record Status — The individual reserve record Stage field reflects how soon the copies will be posted to the reserve browse index, and consequently, how soon students will be able to check out these copies.

Keep Copies at Desk

If this check box is selected, the Reserves Reshelving List batch report sets the copy statuses to KEPT AT DESK instead of NOT ON RESERVE or FLAGGED. These copies will not be returned to their home location. They will instead continue to be physically located at the Reserve Desk but will circulate as standard items.

Booking Profile

This field contains a valid Booking Profile policy, which contains information used in calculating the booking timeline. When a booking is created, the Booking Profile is checked to make sure the booking falls within the item’s available hours. If the booking can proceed, the booking timeline uses values in the Booking Profile to set aside a standard amount of time for preparation and cleanup. Information about the shipping method is also used to set the shipping date and time. Booking Profiles also group related items to be booked as a single booking job or to suggest related items that may be needed when a particular item type is booked.

Note: The Booking Profile field will not display if the system is configured to use Academic Reservations.

Total Charges

This field displays an automatically generated count of the number of times each individual copy has circulated. Total Charges is set to zero for a new copy, but can be modified.

# ACTIVE/PREPARE Reserves

This field contains the number of individual instructor/course records set to the ACTIVE or PREPARE stage.
